In addition to the LLA requirements adventurous activity with young people, the CLD service requires the following information to be included as standard in all trips:

  • Where possible the trips must be created on EVOLVE well in advance – 6 weeks is used as guidance only
  • For all trips taking place during the school day CLD staff should create the trip on EVOLVE as a Joint Visit. The Head Teacher and Y&C Team Leader should be listed as Joint Head of Establishment.  This means that CLD will take responsibility for the admin of the trip which will be approved by CLD prior to the Head Teacher approval. 
  • A CLD EVOLVE must be created for a school group activity out with school times/terms
  • Travel RA if any transport being provided, including individual pick ups, business insurance if staff cars are being used.
  • Activity RA (if using a registered provider, this is not required if using an approved provider)
  • Staff list including emergency contacts. Formally enrolled volunteers details should also be included.
  • Itinerary – including pick up drop off times
  • Providers should be on approved list – there is an option to get them on, but this should be in place well in advance of trips (before the 6 week period for adventurous activities) Green box will indicate that they are approved on EVOVLE
  • Letter/email to parents including all Staff & Volunteers attending, venue, activity, pick up & drop off times, emergency contact number (staff mobile)
  • List of attendees
  • For Block activities one EVOLVE for can be created, but you should input dates of each session
  • Consent forms with medical information – should be updated for every trip ** will be updated
  • Contingency plan to include behaviour issues/staff illness
  • Lone working RA
  • Ratio’s of staff, which have carefully considered for activities, trips and residentials agreed with LM/TL
  • Paper copies to be made of trip information, securely stored and for use during the trip only by activity leaders. They must be shredded immediately after the trip.
  • In the event of any incident contact must be made as soon as possible – Senior will then escalate to TL immediately.
